Batch Management of Research PDFs

Batch-organise papers, reports, scanned materials and project files: merge, split, compress, rename, OCR and archive PDFs.

Estimated time: 30 min – 2 hours 5 steps

Steps

1

Collect and sort PDFs

File management

Put papers, scans, reports and attachments into consistent folders by project or topic.

Sort out the file structure first, then deal with PDF content.

2

Standardise naming

Batch renaming tool

Set file naming rules based on year, author, topic or project number.

The simpler the naming rule, the easier later searches will be.

3

Merge, split and rotate

PDF24 / PDF Arranger

Merge, split, reorder and rotate PDF pages and remove blank pages.

For scans, fix page order before running OCR.

4

Compress and OCR

Stirling PDF / OCR tools

Compress large PDFs and add a searchable text layer to scanned files.

Don't reduce image quality too much when compressing.

5

Archive and back up

File management / cloud sync

Archive processed PDFs into project folders and back them up locally or in the cloud.

For important projects, keep both the original and the processed versions.
