Scanned PDF OCR and Literature Organisation

Turn scanned PDFs, old papers and archival materials into searchable, copyable and manageable literature files.

Estimated time: 30 min – 2 hours 5 steps

Steps

1

Organise PDF files

PDFsam / Stirling PDF

Merge, split, rotate or reorder scanned PDFs so each file has a clear structure.

Fix page order and orientation before running OCR.

2

Run OCR

OCRmyPDF / Tesseract OCR

Add a text layer to scanned PDFs so they support search, copying and full-text indexing.

Choose the OCR language pack that matches Chinese, Japanese or English documents.

3

Compress and optimise

Stirling PDF

Compress OCR'd PDFs, remove blank pages, add bookmarks or optimise the format.

Don't reduce image quality so much that later reading suffers.

4

Import into the reference library

Zotero

Import the processed PDFs into Zotero and complete the title, author, year and journal information.

Older scanned papers may need metadata added manually.

5

Add tags and notes

Zotero

Add tags and reading notes by research topic to make later retrieval easier.

Create a small set of core tags by topic, method, region and importance.
